Administrative Assistant – Property Management

Pay: $55,000 to $60,000 annually + 5% bonus
Schedule: Hybrid — M-F (WFH: TUES & FRI)

Job Summary
The Administrative Assistant will support the Property Management team in the daily operations of a commercial property portfolio. This role provides administrative and operational support to the Property Managers, assists with invoicing and documentation, and helps ensure all property management processes run smoothly. The ideal candidate is proactive, analytical, detail-oriented, and able to work both independently and collaboratively.

Key Responsibilities

Assist Property Managers with the day-to-day operations of a commercial property portfolio.

Process and code a mid-volume of vendor invoices (approximately 15–20 per day, depending on portfolio size).

Prepare COIs and assist with collecting, reviewing, and tracking Certificates of Insurance and gross sales.

Support all move-in and move-out processes, ensuring paperwork is complete, accurate, and properly entered into the property management system.

Prepare tenant notices regarding construction, delinquent payments, renewals, or other property-related matters.

Create deal sheets and supporting documents for lease renewals, assignments, and tenant changes.

Maintain organized filing systems and retrieve documentation as needed.

Draft summaries, correspondence, and internal communications for Property Managers.

Respond to administrative questions, resolve inquiries, and coordinate with the corporate office on required documentation.

Provide general administrative support including scheduling, recordkeeping, and routine department tasks.

Required Qualifications

2–3 years of administrative experience in property management, commercial real estate, or similar industry.

Experience assisting Property Managers or supporting a property portfolio.

Hands-on experience processing invoices and working with vendors.

Strong analytical skills and a proactive, self-starter approach to work.

Proficiency in Microsoft Office Suite.

Experience with MRI or ADVID is strongly preferred; Concur is a plus, but not required.

Excellent written and verbal communication skills.

Strong organizational skills and exceptional attention to detail.

Ability to work independently and manage multiple tasks in a fast-paced environment.
