About the Opportunity

Our client, a well-established and highly respected real estate organization headquartered in Newport Beach, is seeking an experienced Executive Assistant to provide high-level administrative support to multiple senior executives. The ideal candidate is highly organized, detail-oriented, resourceful, and able to manage multiple priorities while maintaining the highest level of confidentiality and professionalism.

Key Responsibilities

  • Provide high-level administrative support to multiple executives in a dynamic corporate environment.

  • Manage complex calendars, schedule meetings, and coordinate executive appointments.

  • Arrange domestic travel, prepare detailed itineraries, and complete expense reports.

  • Draft, edit, proofread, and format correspondence, presentations, reports, proposals, contracts, and other business documents.

  • Prepare meeting agendas, compile materials, take meeting minutes, and follow up on action items.

  • Serve as a primary point of contact for executives, acting as both gatekeeper and liaison with internal teams and external partners.

  • Maintain electronic and physical filing systems, databases, and spreadsheets.

  • Process invoices by obtaining approvals and coordinating with accounting for payment.

  • Assist with conference room setup, audiovisual equipment, catering, and meeting logistics.

  • Manage Outlook calendars and provide email support.

  • Handle incoming mail and ensure timely distribution.

  • Support special projects and perform additional administrative duties as needed.

  • Attend occasional off-site meetings and visit company locations or vendors when required.

 

Qualifications

  • Associate's degree required; Bachelor's degree preferred.

  • 6–8+ years of executive or senior administrative support experience within a corporate environment.

  • Exceptional organizational and time management skills with the ability to prioritize multiple deadlines.

  • Proven ability to work independently with minimal supervision.

  • Strong attention to detail and commitment to producing accurate, high-quality work.

  • Excellent written and verbal communication skills.

  • Demonstrated ability to maintain confidentiality and exercise sound judgment.

  • Professional, positive, and customer-service-oriented demeanor.

  • Strong interpersonal skills with the ability to build relationships across all levels of an organization.

  • Experience researching, organizing, analyzing, and presenting information.

  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams), Zoom, and internet research.

  • Excellent proofreading and document formatting skills.

  • Self-motivated with a proactive, solutions-oriented mindset.

  • Flexibility to work occasional overtime as business needs require.

 

Additional Requirements

  • Valid driver's license or reliable transportation for occasional travel to meetings and company locations.

  • Ability to pass a pre-employment background check and drug screening.
